This policy explains what Dome Helmet Limited (“we”, “us”, “Dome Helmet”) does with personal data collected through domehelmet.net and in the course of quoting for and carrying out building work. We are the data controller for that information.

2. The personal data we collect

Information you give us

When you complete the enquiry form on this website, we collect:

• your name;
• your email address;
• your telephone number, if you choose to give one;
• the postcode of the property the enquiry relates to;
• the type of project, and optionally your budget range and preferred timescale;
• whatever you write in the free-text message field.

We also collect information you give us by phone, email or in person — including, if you go on to instruct us, the property address, details of the works, and the payment information needed to invoice you.

Information collected automatically

When you submit the enquiry form we record the IP address the submission came from and your browser's user-agent string. We use these only to detect and block automated abuse of the form.

This website does not use advertising or analytics cookies, and does not track you across other websites. No cookie banner is shown because no non-essential cookies are set.

Information from other sources

If your project involves an architect, structural engineer, party wall surveyor or building control body, we may receive your details from them in order to carry out the work.

3. Why we use it, and our lawful basis

Under UK GDPR we must have a lawful basis for each use of your data.

• Responding to your enquiry and preparing a quotation — taking steps at your request prior to entering into a contract (Article 6(1)(b)).
• Carrying out building works you have instructed — performance of our contract with you (Article 6(1)(b)).
• Protecting the enquiry form from spam and abuse — our legitimate interests in keeping the service usable (Article 6(1)(f)).
• Keeping records for warranty, insurance and health-and-safety purposes — our legitimate interests, and compliance with legal obligations including the Construction (Design and Management) Regulations 2015 (Articles 6(1)(c) and 6(1)(f)).
• Meeting our tax and accounting obligations — compliance with a legal obligation (Article 6(1)(c)).

We do not send marketing emails, and we do not sell, rent or trade your personal data to anybody.

4. Who we share it with

We share personal data only where it is necessary to do the job, and only with:

• Subcontractors and trades working on your project, who receive only the site address and access details they need;
• Professional consultants — architects, structural engineers, party wall surveyors — where they are involved in your project;
• Building control bodies and local authorities, where approvals or notices are required;
• Our insurers, accountants and, if needed, legal advisers;
• Our hosting provider, which operates the server this website runs on within the United Kingdom or European Economic Area.

We may also disclose personal data where we are required to by law, by a court, or by a regulator.

5. Where your data is stored

Enquiries submitted through this website are stored on a server located in the United Kingdom or European Economic Area. We do not routinely transfer personal data outside the UK. If that ever changes, we will put appropriate safeguards in place, such as the UK International Data Transfer Agreement or an adequacy decision.

6. How long we keep it

• Enquiries that do not become projects — 12 months from your last contact with us, then deleted.
• Quotations that are not accepted — 2 years.
• Project and contract records — 6 years after practical completion, reflecting the limitation period for contract claims under the Limitation Act 1980.
• Structural warranty and building control records — for the life of the warranty, and for at least 15 years where a claim could arise under the Defective Premises Act 1972 as amended by the Building Safety Act 2022.
• Accounting records — 6 years from the end of the relevant accounting period, as required by HMRC.

7. Your rights

Under UK data protection law you have the right to:

• be told how your personal data is used — which is what this policy does;
• request a copy of the personal data we hold about you;
• have inaccurate personal data corrected;
• ask us to erase personal data where we no longer have a good reason to keep it;
• ask us to restrict how we use your data while a concern is resolved;
• object to processing carried out on the basis of our legitimate interests;
• receive data you gave us in a portable, machine-readable format, where processing is based on consent or contract.

To exercise any of these, make the request through the form on our website or in writing to Dome Helmet Limited, 2-4 Highgate Road, London, NW5 1NR. We will respond within one month. There is no charge unless a request is manifestly unfounded or excessive.

Some rights are qualified. Where we are legally required to retain records — warranty, health and safety, or tax — we may not be able to erase them on request, and we will explain why if that applies.

8. Security

The website is served over HTTPS, and enquiry data is held on an access-controlled server with restricted administrative access. No system is perfectly secure, but we take reasonable technical and organisational measures appropriate to the sensitivity of the data. If a breach occurs that is likely to result in a risk to your rights, we will notify the Information Commissioner's Office within 72 hours and tell you where the law requires it.

9. Children

This website is not directed at children, and we do not knowingly collect personal data from anyone under 16. If you believe we have, contact us and we will delete it.
